Assign and manage access to layout templates

Hey everyone! Today we’re going to show you how to assign layout templates to users, and how to grant edit access to layout templates for group administrators. Now what you’ve done at this point is that you have named your layout template, and that should help identify who the layout was created for. We actually haven’t told the system who the layout should be applied to. The name itself doesn’t give the system that information, or doesn’t tell the system to apply it to those users. We actually have to assign users to this layout. So we’re going to do that for the Marketing Content Team layout. We’re going to go ahead here and edit. Once we get to the creation screen, we’re going to go to Assignments, where it says Assign To, and from here we get the pop-up. You’ve got a couple of options. You can of course apply it to specific users. So if I wanted this to be specifically for Greg and Allison, you can type in their names and add them, and only they will have the layout template applied to them. You can have it to a specific job role. So you could apply this layout to all your network engineers, or anybody that has a copyright – copywriter, excuse me – as their job role. You can of course also apply this to a group, which is one of the larger organizational units. That’ll be something like a department. So I could apply this to the marketing or sales department, if that’s what we needed to do. In this case, we’re applying this to a specific team, a smaller unit of people that work together closely. They need to know how each team member is progressing with their work. So we’re going to apply this specifically to the marketing content team. So whether that team has two or twenty people, once we hit done and then save, anybody who is a part of that team will have that layout applied. Now before we hit save, there’s one more thing we need to think about, which is who can manage the layout. Who can make changes or edit that layout that is applied to that group of individuals. So as a system administrator, you already have a lot on your plate, so it’s really useful to utilize group admins to help you manage layout templates. So what we’re going to do here is we’re going to let a group administrator have access to the marketing content team layout. That way, that person can make changes as needed to the template in the future, and it just takes one more thing off of the system administrator’s plate. To do that, we’re going to click the administrative access where it says grant access to. And what we actually do is we select the group. So in this case, because the marketing content team is more than likely a part of the marketing department or the marketing group, we’re going to give the marketing group’s group administrator access to manage the layout. So we’re not choosing a specific person necessarily from this list. We’re choosing the group, and then whoever’s been designated as the group administrator, they will then be able to manage or have editing rights to this layout template. And we’ll click done here and save. So now everything that we’ve customized, the users we’ve assigned this layout template to, they will now have this streamlined and personalized work front experience through that layout template.
