Upload a Proof Version In this video, you will learn how to Upload a new version of a proof and apply a proofing workflow to the version. Versions in Workfront help you manage the feedback from multiple iterations of a proof. Using versions ensures recipients are reviewing the latest version of the work, while maintaining a history of the previous rounds of markup and comments. Start by selecting the proof you want to upload a new version for in the documents list on your project, task or issue. Then click Add New and select Version, then Proof. This opens up the new proof upload window, so you can drag and drop the new file into the upload queue. Workfront automatically applies the proofing workflow from the previous version of the proof. However, your organization may have a different workflow for this version of the proof than was used on the original proof. For example, perhaps the first round of review focused on the concept, but the next version needs to be reviewed by people who focus on the branding. You can select a new workflow template that establishes the new proofing workflow. Or you can make changes to the existing workflow as needed, such as removing reviewers, switching proof roles, or setting a new deadline. It’s important to note that each version of a proof is assigned its own proofing workflow. It’s a common misconception that stages of an automated workflow can apply to different versions of the proof. With Workfront, you cannot stop a proof workflow after a specific stage, upload a proof, and then resume the same workflow. Each version needs its own workflow assigned. Make sure the Notify option is checked, so email notifications about the new version go out once the proof has successfully generated. Finish the upload by clicking the Create Proof button. As you work with versions, keep these things in mind. You must have edit rights to the proof to upload a new version. This means you’ll need to be one of the following. Owner of the proof, assign the moderator or author proof role on the proof itself, or have the administrator or supervisor proof permissions assigned by a system administrator. There is no limit to the number of versions of a proof. If you give someone access to a later version of a proof, that person cannot see earlier versions unless you go back and grant them access. When proof recipients open the proof, they’ll see the latest version in the proof viewer and can start their review. A quick click lets them see previous versions, provided they have the proper permissions.
Upload a version from the proofing viewer
If you have a proof open in the proofing viewer, you can begin a version upload directly from the version menu. Click the New version link to be routed directly to the “upload a new version” page and complete the upload.
