Work with tasks

The easiest way to edit existing task information is with Workfront’s In-Line Editing features. Just double-click into a field to activate In-Line Editing and make your change. Then click the checkbox to deactivate the line and save the changes. This option lets you edit most of the information you see through the view you selected. Hit Tab to move between fields. To edit information that isn’t visible, check the task and click Edit. This shows you all of the task detail fields. Make the changes and save. Note, when you edit a single task with the Edit icon, a box opens and the name of the task at the top. If you check more than one task and click Edit, the box says Edit Tasks and lists the number of tasks. This is a convenient way to edit fields to many tasks at once. This little checkbox that appears above the field lets you know you’re changing that information on multiple tasks. If the project contains tasks that aren’t needed, you can delete them from the plan. Select the task or tasks to remove by checking the boxes. Note, when you select a parent task, Workfront automatically selects all of its child tasks. Then select Delete. Workfront issues a warning and provides a chance to cancel the deletion. Once you click through the message, the tasks are removed from the project plan and moved to Workfront’s Recycle Bin for 30 days. Note, the Recycle Bin is accessible only by Workfront system administrators. Work with your local Workfront admin to retrieve a deleted task. Sometimes, it’s faster to get a task back into a project just by creating a new one. But if the deleted task contains needed information that’s hard to reproduce, it might be worth the time asking the Workfront admin to recover it. As you look through the project plan, you may find you need to add tasks to meet the specific requirements of the project. Most of the time, you know exactly where the task needs to go. This is where the Insert Above and Insert Below options are the best option. Check the box of an existing task, then select Insert Above or Below from the right-click menu or click one of the icons. This creates a new task line in the project, which you can fill in using the in-line editing. The task inherits the same parent-child structure as the task you selected. For example, if the selected task is a child task, then Insert Below adds a child task. Just click in the Add More Tasks bar to save. Rather than creating new tasks, you can quickly duplicate a task or set of tasks. For example, the creative section of this project needs to be done twice. Select all of the tasks to duplicate, then right-click and select Duplicate. Or choose Duplicate from the More menu. The new tasks appear directly underneath the tasks you had selected. The Duplicate feature is a great time saver because all information related to a task is duplicated. You can change the task name, assignment, start date, due date, etc. Edit the task information or move it to a new spot in the project if needed. Change the position of a task using the Indent button. Move a task in a level with each click of indent. Or move it back a level with the Outdent button. These two options, which are also available in a right-click, let you build a parent-child task structure. Move tasks around in a project with a drag and drop. The dark blue lines indicate where the task will go when you release the mouse button. When you hover over a task with your drag and drop, the blue line turns into a blue box, or highlighting on that task. That means the task you’re dropping will become a child task to the task that is highlighted.
