Introduction to Automated Workflow Templates In this video, you will learn what an automated workflow template is, how proof users can benefit from workflow templates, and finally, how to start planning which templates to create. There’s a team at your organization that uses Workfront’s proofing functionality during its review and approval process. Multiple people on the team upload proofs, and all proofs follow the same review process. However, the process is not getting set up consistently, reviewers are forgotten, and deadlines aren’t right. Plus, everyone’s complaining about how long it takes to get proofs ready to review. As the system administrator, you can save the team some time and ensure consistency by building their review process into an automated workflow template. Automated workflow templates, sometimes referred to as proof templates, are reusable, preconfigured review and approval processes, aka proofing workflows. All the reviewer assignments are filled in, deadlines established, and proof details attended to. People uploading proofs can use the template as is or make changes based on the needs of a particular proof. Templates can be added when uploading a proof or even after the proof is uploaded to Workfront. Before you start creating templates, do some research and planning. Start by establishing the proof workflows. Talk with your teams to learn their review and approval processes. Determine how these reviews will be handled in Workfront using proofing. Then, test the process end-to-end to make sure it works. After all, you don’t want to make a template for a process that isn’t any good. After that, you can start building a template library with these basic steps. Set up template groups to help organize the automated workflow templates. Update the templates themselves, assigning them to a group. Assign the templates to the users who need them. Of course, as processes change, people change positions, etc., you’ll need to maintain and update the templates. Let’s get started.
