View and compare proof versions In this video, you will learn how to Open a version of a proof Determine which proof version you’re looking at Make comments and markups on a version And compare the current version with an earlier version of the file Revisions to digital assets are an inevitable part of the review and approval process These revised and updated files are managed as versions in Workfront’s proofing functionality An email notification alerts you that you’ve been assigned to the proofing workflow of a version This email follows the same format as the new proof email, sharing basic information about the file The subject line and version number alert you that this notification is for a new version Click the blue Go to Proof button to open the new version in the proofing viewer A quick glance at the top corner shows you the proof name and the version number Workfront’s default is to display the latest version, so you know you’re reviewing the newest work done A pop-up message even lets you know when there are newer versions of a proof than the one you’re trying to open Use the version menu to see the history of the proof View an earlier version of the proof by selecting it Earlier versions may be locked, which means you can’t make comments or use the markup tools Workfront recommends that you do not make changes to the previous proof version As the review and approval workflow for that version is completed It’s very likely no one would see your comment or change as everyone will be focused on the newest version When you’re ready to review the latest version again, use the menu to switch back Compare versions A common reason for comparing proof versions is to make sure revisions, suggestions, and corrections marked on an earlier proof version got made and appear on the latest version You can double check this by comparing versions With the latest version open in the proofing viewer, click the compare icon in the toolbar This compares the version you’re viewing with the immediate previous version For example, if you’re looking at version 3, then clicking the compare icon opens version 2 If you’re viewing version 2, then Workfront opens version 1 The newest version moves to the right side of the window with the previous version on the left With this example, the previous version is locked The default comparison option is side-by-side When you move a proof around or zoom in on one version, the same action happens to the other proof Use the reset icon to get both proofs back to their original size and position To move or zoom the proofs independent of each other, turn off the simultaneous navigation with a click of the icon Click the icon again to turn it back on Another comparison option is overlay Move the proof back and forth across the center line to see how the file has changed To see comments made during the review cycle of the previous version, click View comments You’ll also be able to see replies to the comments, proof actions that were added, and if the comment was resolved If the comments column isn’t already visible on the latest version, click the link on that side of the window to open it too Looking at the comments can be useful when reviewing proof versions But if there are dozens of comments, identifying where changes were made could be time consuming The proofing viewer can make that process easier with its automatic comparison feature This highlights on the newest versions where changes were made If the default color makes it hard to see where your changes were made, change the color so you get better contrast Once you’re done, just click the auto-compare icon again to turn it off Close a proof version When you’re done comparing the proof versions, close the one you no longer need with the X in the upper corner Complete your review of the newest proof version by making comments and using the markup tools If you’re also an approver, don’t forget to click the Make a Decision link and approve or eject the file Proof versions help ensure your team’s latest work is reviewed and approved, eliminating confusion over which iteration of an asset is the current version This means accurate, complete work is delivered to customers, vendors, or other stakeholders
