Transcript
This video is for people who need to find requests they’ve made to check the status or add comments, people who have been assigned to work on requests, and people who manage requests. By managing requests, I mean making sure requests are assigned and that the work is getting done, as well as approving requests when needed. There are four main areas in Workfront where people can go to find requests. The first is Workfront Home. Here we’re logged in as Mary Smith. Mary is a production artist on the creative team and has frequently assigned requests. In Home, she can see her requests. These are requests where she may be assigned alone or with others. Next, we’ll log in as Joan Harris. Joan often makes requests and is not usually assigned to any. In Home, she can quickly find requests that have been completed and are awaiting her approval. The next area where you can find requests is in the Request area. We’re still logged in as Joan. There are a lot of requests here, so Joan will want to change her request to Mary. She can change the filter to My Open Request to see only those requests that are not yet completed. When you see the word My in a filter, it means it’s related to the logged in user. My can mean different things depending on where you are. In Home, My may mean things that are assigned to you, while in the Request area, My means you are the primary contact, which is the person who either created the request or on whose behalf it was created. The Teams page is the next area we’ll look at to find requests. We’re logged in as Mary again. She may want to go here to see requests assigned to the creative team that have not been assigned to a team member yet. Anything in this list still needs to be assigned. She can assign herself to a request by simply clicking Work on it. Now we’ll log in as Joan. Joan can also see all the unassigned team requests. She can click on the person icon to make an assignment. She can also check the Workload Balancer to see how busy team members are and make assignments accordingly. The last area we’ll talk about is Custom Reports of the Custom Dashboard. These are custom, so you’ll need to create them yourself. But the advantage is that you can choose what you name them and you control the filters, views, and groupings. Here we have Open Requests Assigned to Me and Open Requests Created by Me, so there’s no ambiguity about what My means. Down here we have a complete list of requests that the creative team is working on, grouped by priority. We can see who created the request. This is the entered by, on whose behalf it was created. This is the primary contact, who it’s assigned to, and the status. If you want to learn how to create custom reports, click on the link below to open the Create a Task Report tutorial. Key takeaways
- Finding Requests in Workfront Home: Users can view requests assigned to them or those awaiting their approval, depending on their role.
- Using Filters in the Request Area: Filters like “my requests” and “my open requests” allow users to see requests they created.
- Managing Requests on the Teams Page: Users can see unassigned team requests and assign them to themselves or others, using the workload balancer to manage team member assignments based on their current workload.
- Custom Reports and Dashboards: Users can create custom reports to track requests, allowing for personalized naming, filters, views, and groupings, which helps in managing and prioritizing requests effectively.
- Understanding “My” in Filters: The term “my” in Home refers to issues assigned to me. The term “my” in the Request Area, refers to issues requested by me.
