Viewing Your Resources View by User In addition to filtering the list, there are three ways to view resources and each has a different purpose. In this video, you’ll see the view by user view and how resource information is displayed in this view. When viewing resources by user and work front, you’re able to get a good understanding of how specific people are allocated, whether over or under for the given time frame. There are three columns to focus on within the view by user option. They are the AVL, PLN, and DIF column. This column shows each user’s total availability in hours. Each user’s capacity is based on the workable hours set by their schedule and any time off they’ve entered into work front. This number will remain constant unless the user is assigned another schedule or enters time off during the time frame that is being shown. This column displays the total amount of work a user has been assigned to in work front and is displayed in hours. These hours come from the planned hours associated with the individual tasks on a project. This is why it’s important to enter planned hours for every task. The last column to focus on is the DIF column. In this column, the system takes the difference between the available and planned hours and shows how many hours are left. This way, you can determine who has availability to be assigned to additional work needing to be done. If at any time the planned hours exceed the available hours for a given time period, the numbers in the DIF column turn red to indicate an over-allocation. This view allows work managers to easily find potential resource scheduling conflicts. Once identified, work managers can use various tools to resolve these conflicts. This may include changing the resource assignment, rescheduling the dates of the work, or putting work on hold. In some organizations, this may involve collaboration between project owners and resource managers to resolve these types of conflicts. Pro tip. For larger organizations viewing resources, leverage the filtering options to display a subset of users, such as looking at just one job role or team at a time. If more than four units of time need to be viewed, i.e. 12 months, the export tool can be used to see more information in a spreadsheet view.
