Delegate tasks, issues, and approvals

Learn how to delegate task and issue assignments, and approvals for projects, tasks, and issues, to another Workfront user.

Before you can delegate task and issue assignments, your system or group administrator needs to enable this feature in Setup. Go to Setup, Project Preferences, Tasks and Issues, then scroll down to Delegation and check Allow users to delegate their tasks and issues. Click Save. When this is enabled, you can go to the My Tasks widget in Home and see this Delegate button. This allows you to delegate all your tasks and issues to another user for the time period you specify. You cannot delegate only tasks or only issues, but both tasks and issues are delegated together here, and they will be all delegated to the same person. We’ll delegate all our tasks and issue assignments to Ann Owen for next week. If you check the No End Date checkbox, delegations will continue until you manually turn it off. If you decide to end the delegation early or manually turn it off, just edit the delegation and click on the Stop Delegation button. Then click Stop Delegation again here. We’ll click Cancel to keep our delegations going. When you go to a task that was delegated, you can see delegations here. Just click on the person in the Assignments area, then click on Delegations. You can get notifications about delegated tasks. Just go to Email Notifications and Setup. Your system or group administrator can enable these email notifications to email you and the person you delegated the task and issues to when delegations have been assigned or stopped. To delegate approvals, go to the Awaiting My Approval widget in Home and click the Delegate Approval button. Fill it out the same as you would when delegating tasks and issues. Delegating Approvals applies to existing approvals you haven’t approved yet and all new approvals that come in during the specified time period. All of your approvals will be delegated to the same person. Your system or group administrator can enable these email notifications relating to the approval delegation. You can only delegate approvals for projects, tasks, and issues. You cannot delegate approvals for documents, proofs, or timesheets. You can tell whether or not an approval is delegated to you in Home. Here you can see who is requesting the approval. In this case, it’s Mark Lewis. But Jennifer has delegated her approvals to Mark Lewis, so if we log in as Mark, we see that some of these approvals were delegated to Mark by Jennifer. We’ll approve a couple of these so we can see the updates. When you approve an approval request, an entry appears in the Update tab. If you are approving a delegated approval, the update will specify that this was delegated and who delegated it. In this case, it says this approval was delegated to Mark Lewis by Jennifer Campbell. These are system updates, so be sure and click the System Activity tab to see them.
