Proof Viewer Navigation In this video, you will learn how to move a proof around and zoom in and out on the content, use the thumbnail column to preview and navigate the pages of a proof, filter the comments column, and close the proof. You received a new proof email requesting you to review a proof before the end of the day. When you click the Go to Proof button, it takes you directly to the work from proofing viewer. The viewer opens in your browser for most proof types, overlaying the main part of the work front window. You’ll still see the work front menu bar across the top of the window. To close the proof, click the X in the corner of the proofing viewer, or use the breadcrumb trail to navigate back to the project, task, or issue the proof is attached to. Before you do that, let’s take a look at the features available in the proofing viewer. Viewing Options As you complete your review, you may want to reposition the proof so you can see all the content, or zoom in so you can take a closer look at the text. Move the proof around in the window with the Pan Mode icon. Then click and drag the proof, moving it around so you can see the part you’re interested in. You’ll also find several options for zooming in and out on the proof content. Click the magnifying glass icon, then click on the proof to zoom in. The cursor remains as the zoom tool, so be sure to switch back to the Pan Mode icon. Otherwise, every time you click, you’ll zoom. Zoom in or out at preset increments, using the plus and minus icons, or by selecting a percentage from the menu. You can also use the three fit options, fit to width, fit to page, and zoom to 100% to resize the proof. When working with multiple page proofs, the thumbnail column makes it easy to jump to a specific page with a click. You can hide the thumbnail column if you need more screen space for the proof. The up and down arrows also help you navigate from page to page, or enter a page number to jump right to that page. By default, Workfront displays proofs as single pages, which means you’ll need to manually navigate to the next page. To scroll from page to page in the viewer, switch to the continuous view. The magazine view puts the first page by itself, but then displays subsequent pages as pairs. This is helpful when you need to see how two pages look side by side, such as a magazine, book, or brochure. The comments column doesn’t appear in the proofing viewer until comments have been made. Collapse the column for more space in the proofing viewer, then expand it again when needed. The filter options allow you to narrow down the comments list, filter by comments that have replies, comments that have specific actions applied, or comments that haven’t been read yet. Click apply to activate the options and see the filtered comment list. If this is how you’ll always want to filter the comments column, save the settings. If not, just click reset to see all of the comments again. The blue dot on the filter icon indicates filters are applied. Click the icon again to update or reset the filters. Left panel menu. Information about the proof, the proof workflow, and proofing viewer settings can be accessed from the left panel menu. The proof details show you basic proof information, who owns it, when the proof was created, and the proof status. Plus, gives you a history of the activity on the proof. The proofing workflow shows how the workflow is set up, the role each person plays, and the progress made. Depending on your permissions in Workfront and with proofing, you might be able to edit the workflow. Showing the proofing workflow is a great way to share the proof with other people from the proof viewer depends on whether the proof owner has configured the proof for sharing. You might be able to copy a shareable link or embed code, or add someone directly to the proof workflow. The original file for the proof downloads automatically when you click the icon. This is helpful when you need to open the file in its original application. Some Workfront customers like to export information about the proof into a PDF or spreadsheet, or print it directly. A designer might use the comments list to help revisions, or a project manager may want to upload the document to a project for future auditing purposes. Lock a proof to prevent other people from making comments or decisions on this proof. You’ll need the proper permissions to lock the proof. The final option in the left panel menu is the proof viewer settings. These settings, which control the visibility of the proof markups and pins, as well as how the markup tools display, affect all proofs that you open. Proof versions and comparisons. As work is reviewed and revisions are made, versions of the proof will be uploaded for review. Workfront will always show you the latest version of a proof by default. If you click a link that is from an earlier proof version, Workfront takes you to the latest version automatically. Use the version list to switch to an earlier version of the proof. Depending on the proof settings, the earlier version may be locked, which means you can’t make comments on that version. You can also compare two versions by clicking the icon next to the version you want to compare with the version that’s currently displayed in the proof viewer. Measure and search. Use the measure tool to determine how big a photo is on a layout or calculate the percentage of space taken up by text. Workfront helps you find exactly the text you’re looking for in a proof with the search icon. This feature works for PDFs, Microsoft Word documents, and static web pages. Now that you know how to navigate the proofing viewer, you’re ready to start making comments using the markup tools and approving work.
