Convert a document to a proof In this video, you will learn how to Generate a proof of a document already in Workfront Add a workflow while generating the proof And Add or edit a workflow after the proof is created Workfront handles digital files in two ways As a document or as a proof Proofs are uploaded to be commented on and marked up as part of a review and approval process Documents tend to be uploaded to serve as a source of files Or as a way to store files with a project for historical purposes However, some Workfront customers use documents as part of their review and approval workflows In these cases, the person uploading the file to be reviewed isn’t the person responsible for adding the proofing workflow For example, the creative team is assigned to create a brochure But they don’t know who should review the proof The project manager over the related project is responsible for making sure the brochure is reviewed So the creative team uploads the file as a document using the add new menu and selecting document Now the project manager, proof manager, or other stakeholder steps in to generate the proof and assign the workflow Generate the proof From the document section of the project, task or issue, hover over the file or select it Then click the create proof dropdown menu The simple proof option just generates the proof of the file No one is assigned to review or approve it But you are assigned as the proof owner With advanced proof, you can generate the proof and assign a workflow at the same time The new proof window, which is the same as when you upload a proof from the add new menu Lets you select a basic or automated workflow Select a template if using an automated workflow Or add stages and fill out the workflow steps And click create proof to finish Workfront sends emails to the proof recipients after a successful generation of the proof Add or edit a workflow If a proof was already generated but a workflow wasn’t added or needs to be edited Click the proofing workflow link This opens a basic workflow window Add more reviewers and approvers from the more icon by selecting share Don’t forget to set a deadline for these recipients If you want to add a proof workflow template, click convert to automated workflow Here you can add a workflow template or set up your own multi-stage workflow To ensure the work gets reviewed by the right people
Who can upload documents?
Your system administrator determines in what format—document or proof—you can upload files into Workfront. Some users may be able to upload only documents, some upload only proofs, or some upload both. Your permissions are based on your role in the proofing workflow.
If you find these settings need to be adjusted, talk with your system administrator.

Don’t forget to remind your co-workers you’re sending them a proof as part of your Workfront training.
- Open a project, task, or issue and go to the Documents section. Upload two or three documents.
- Now convert one of the documents into a proof but don’t add a proofing workflow yet.
- Convert the second document into a proof, adding a basic workflow with a deadline of 4 pm today.
- Go back to the proof you created in step 2 of this exercise and add a proof workflow template. If your organization doesn’t have any yet, set up a 2-stage proof workflow from scratch.
