Learn how web forms can not only transform outdated manual paper-based processes, but also increase engagement. This example showcases how web forms can be used by educational organizations to automate a complex internship application workflow that has unknown signers, and it provides a positive experience to both employees and students. To start, an Alchero University student needs to apply for an internship that offers them university credits. Because Alchero University’s Academic Services department uses Acrobat signed web forms for their internship applications, the student can access the form they need directly from the Academic Services website. The student has already started the process of applying by completing the online form from their mobile phone. They sign the form. And then at this point, every student’s workflow varies depending on their course of study. Each student needs to add their own faculty supervisor and department head for approval. So they enter these next participants. Then the student completes the signing process by entering their email address. Next, they’ll receive a link in their school email to confirm their identity. They simply open their email, click on the link, and their identity is confirmed. Next, the faculty supervisor receives an email notifying them that their signature is required for the internship application. They review the application and complete just their portion by signing and approving the request. And notice how they can only interact with their portion of the form. Once the faculty supervisor approves the request, the department head receives an email notifying them that their signature is required for approval. When they receive the email, they can also use the Acrobat sign integration within Outlook to check the status of the application. From Outlook, they can quickly see who has signed an application and who still needs to sign. Next, they confirm the request with their signature. And notice again how they can only interact with their portion of the form here. Once all parties have approved the application, each party receives a copy of the signed application. This web form also includes a workflow that automatically sends a copy to the Academic Services Department, ensuring that the student receives course credit for this approved internship. And once an agreement has been signed, it is certified by Adobe and tamper-proof. Every agreement in Acrobat sign passes through a series of event milestones that create an audit trail. This audit report provides a summary of where the transaction is in the end-to-end process. Along with the summary, the report also provides the IP address of the system recording event and the transaction ID of the authoritative document in the Acrobat sign server.
