Global settings

The Global Settings section of the Account tab is one of the more feature-rich sections, and all the settings are use-case specific. Learn how to edit settings globally for your entire organization or for specific groups.

Hello, all. Today I’m going to cover the global settings for Acrobat Sign. Global settings Allow an account administrator to set the organization wide behavior of Acrobat Sign. Although the options that you select here will affect the entire organization, you also do have the ability to override these options at the group level. By doing so, you’ll be able to have selected groups that have different permissions than the global settings that we’re going to cover here today to set your global settings. You do need to be an account admin of your Acrobat Signed account, and when you sign in as an admin, you’ll see this account tab. So click on my account tab and I can go to my global settings. There are a lot of settings here and I will briefly cover them all, but I would also ask you to refer to our Help x page that will cover them in detail. Let’s start with the option for health care customers. If you process protected health information in the United States pursuant to the Federal Health Insurance Portability and Accountability Act of 1996, you can link to a business associate agreement here. You can also enable self signing workflows. This gives you the ability to default to the fill in sign experience or switch between the fill in sign experience and the structured workflow. You can also send agreements in bulk. Sending in bulk is an excellent one to many use case, meaning that you can send one document to many different recipients at the same time. To aid in this, you can allow a CSV file of the recipient list to be imported. Another one in any use case is web forms. You can allow for the use of web forms, so you can allow CCS within web forms. You can allow a PDF preview of web forms. You can require an email address and the signature block of the form. You can also require a signer to verify their email address before the signing of the web form is considered complete. And you can also allow for additional participants. Acrobat Sign has a workflow designer that allows you to create specific workflows for others to follow when signing an agreement for signature. You have the ability to allow centers to only send with a premade workflow as opposed to using the send for signature feature. This will ensure that all of the users who are restricted by this option will be sending agreements the same way. If you are an administrator, you can enable the workflow designer for other admins. Acrobat Sign also allows you to create library templates with reusable form fields so you can enable this feature and allow others to share them to the account. If you’re using forms and want to get a CSP of the field data for every signed document, you also have that ability. You can attach a CSP with that data to the sender Sign agreement emails. With respect to limited document visibility. This allows you to hide parts of a multi-page document. You can assign data entry fields to specific participants, and they will only be able to see documents that contain those fields. Here you have the option to select who will be able to see the files Once your transaction is complete. Everyone involved will get a PDF copy by default. This setting allows you to change that so PDF copies can be sent to all recipients, to internal recipients, to external recipients, or to no one at all. You can also include a link in an email to view the signed agreement, or you can include an image of the first page of the agreement in the email. You also have the option to attach audit reports which are going to show you all of the steps of the signing ceremony as well as the security permissions. So you can opt to attach the audit report, never for the sender only, or always attach the audit report, or any time that agreement is downloaded from here, from your manage tab. When you upload multiple files for one transaction, Acrobat Signed concatenate these files into one PDF before sending it for signature. The setting dictates whether you want your sign and file documents to be merged or whether you want to keep them split into separate files. You can also send additional copies of every signed agreement up to 15 recipients in an email. Additionally, you can allow centers to manually upload a signed copy they receive from a signer. You can also allow users to delegate their signatures. This means that someone can sign an agreement in their stead. So here you have three options. You can allow users to delegate to anyone or to only users in their account or to no one at all. And you also can allow external recipients to delegate their signatures. As an account admin, you also control the authority to sign so you can select the default of allowing everyone to sign in if you choose this. You still have the option at the user level or to keep users from being able to sign. You can also do that at the group level. You can also choose the default of allowing no users to sign, but select users to be able to sign at the user or group level. Similarly, you can give or restrict the authority to send agreements and to add electronic seals to an agreement. You also have the option to to set the default time zone and the default date format to use for the time date stamps on agreements created by users of the account. You can enable the users in multiple groups feature by allowing users to send agreements from more than one group. Admins can strongly try library templates. Recipient information authentication and signature requirements to one group, letting the workflow define the nature of the group instead of the users in it. So if you want to set that up, there are some prerequisites steps and there’s a link here to give you detailed information. Moving down, you can also set group administrator permissions, allowing group admins to edit group settings to edit user profile information, edit user permissions or add or remove users when centers replace the original recipient. You can choose to allow or disallow the original recipient to still participate. You can choose to allow centers to make that decision every time they need to replace that original recipient. With respect to other reports. You can allow unauthenticated access to other reports. You can include reminders in the audit report. You can include agreement, view events and include an agreement page count and attachment count in that audit report. In product messaging is an option if you want to receive important information regarding notifications, access to assistance, onboarding, or other behavior based guidance. Definitely check this. You can create accessible PDFs by enabling tagged PDF Generation, which helps give you agreements the ability to communicate to all parties involved. And lastly, Acrobat Sign has two authoring experiences, a classic and a new experience. You can select your authoring experience here. Okay, so that is a lot of information.
