The Acrobat Sign add-on for Dynamics 365 for Sales provides a single console to set up and manage electronic signatures within Dynamics. The add-on is available through the Dynamics 365 App Source. In this example, Dynamics 365 for Sales help salespeople at Contoso close deals faster and take better advantage of opportunities with a single customer review and embedded intelligence. Let’s see how Contoso also uses this integration to automate their, quote, acceptance and signing process. Acrobat Sign with Microsoft Dynamics 365 for Sales have already been integrated and a quote template has already been set up. To begin, we’ll open the sales up app within Dynamics 365 and then open an existing sales opportunity. When a customer has verbally accepted a quote, the salesperson can kick off the signing process right here within Dynamics 365. To do this will access the action menu for this quote and then choose request signatures from the menu. Next we’ll select the quote template that was previously set up and notice that the customer’s contact information is automatically retrieved from the opportunity and included as a signer. We can add more signers here if necessary. Also, notice that the quote document is already attached and ready for signature. The overall agreement is now ready to be sent to the customer. The status of agreements can now be tracked across various apps through Acrobat Sign, Microsoft Teams, or right here in Dynamics 365. Let’s go ahead and check the agreement using the Acrobat Sign app within Dynamics 365. The Acrobat Sign for Dynamics 365 landing page shows us a list of recent agreements related to the current user. The agreements page shows a complete list of current and past agreements along with their statuses. The dashboard page helps the sales teams keep track of their agreements. They can identify deals that are lagging so the team can move them ahead with a reminder or a follow up call. The status of Contoso’s quote, shows out for signature with the customer. Next, let’s walk through the document signing experience for the customer. When the agreement is sent in Dynamics 365 the customer gets an email in their inbox. Signing is easy. The customer doesn’t need any special software or license to review and sign the document. They can simply select the link included in the email. Here’s our agreement document created from the template. Notice the amount and other data fields that have been transferred through from the sales opportunity. They simply select the signature field to sign. You can type your signature, paste an image of it, or sign with a stylus or your finger on a touch enabled device. Select the click to sign button to confirm the signature in the document. Once signed, the agreement is stored digitally and securely. A copy of the signed document is sent to the customer’s email and also to the sales agent in Dynamics 365. Meanwhile, back in Dynamics 365, the sales team can see the progress through the agreement. One sign the document can also be previewed directly from within Dynamics 365 Taking paper processes online is only part of Tulsa’s goal. Bringing these processes into Dynamics 365 means that they are also available to other Microsoft 365 apps. Through Power Automate Acrobat Sign also works seamlessly with other Microsoft products. For example, the sales team spends a lot of time collaborating in Teams. When the agreement is signed, Power Automate sends a notifications to Teams so everyone is kept up to date. The notification includes a link to a SharePoint library where the sales team stores all their documents. This aids in compliance and records retention. With Power Automate in Acrobat Sign Contoso has an e-signature workflow solution that is natively integrated with the Microsoft ecosystem.
