Manage and track your agreements
Learn how to manage and track documents sent for signature in Acrobat Sign. Get real-time status updates and notifications for every document you sign or send for signature.
In this tutorial, learn how to manage and track documents sent for signature in Acrobat Sign. From the home screen, there are three different ways to navigate to the Manage page. You can select the Manage and Track All Agreements action card, select In Progress or Waiting Few shortcuts, or select Manage in the top menu.
The Manage page provides an overview of all your agreements, including ones that you created and those that were shared or sent to you. On the left-hand side of the Manage page, agreements are grouped by their status.
In Progress shows agreements that were created by you and that are still waiting action. Waiting For You shows agreements that are waiting for your action. Completed shows agreements that have been fully actioned, including both agreements that you sent and ones that you were a recipient of.
Canceled shows agreements that were canceled before being fully actioned.
Expired shows agreements that were not fully actioned before reaching their expiration date. And Draft shows agreements that were created for you but have not yet been sent for action. Filter and search options are available to further refine the list of agreements displayed and include options to filter by modified date or specific text in a selected field. The search bar allows you to search more broadly across all fields, and it’s especially useful if you are unsure of exact phrasing.
Now, if your Acrobat Sign administrator is interested in account sharing, you can select on your agreements to open a list of the accounts currently shared with you. Sharing agreements allows you to manage agreements created by others. This is especially useful if you work with a team where you need to act on agreements created by colleagues.
After selecting a status, or if you filtered or searched for an agreement, the middle section of the page lists all the matching documents. And you can select on any column header to sort agreements by the value in that column.
As you move your mouse over the list of agreements, various quick actions appear. Now, the quick actions that appear change depending on the status of the document. For this in-progress document, we see Open to view the agreement, Reminder, which allows a new reminder to be configured or adjust an existing reminder, and Notes, which allow you to add a personal note to an agreement.
When you select a different status, like Waiting for You, you see different quick actions, like in this case, you’ll see Sign, which launches the signing view.
For the completed status, you’ll see Download, which triggers download of the agreement documents. When you select an agreement, by clicking anywhere on the row, other than on a quick action, a pane appears on the right-hand side, showing details of the selected agreement. These details include the creation date, agreement owner, current status, and below, there’s a list of actions that can be performed on the agreement. Now, what you see here will vary based on the status you have selected. For this completed agreement, I can download a copy of the agreement, download the audit report, and you may also see other actions, like creating a template, configuring reminders, canceling, and possibly modifying the agreement. Again, the actions that appear here are based on the status of your agreement.
Below the actions, you have access to the list of recipients who are parties to the agreement. You might also see the ability to replace a recipient with another person, or change the authentication method used to identify a recipient, depending on the status of the agreement. At the very bottom, you have access to the activity history, which lists every action performed on the agreement.
Now, at the bottom left-hand side of the Manage page, there are also options to review. Here, you’ll find templates, where you can open, edit, transfer ownership, and use template documents in your agreement. You’ll find web forms, where you can open, edit, transfer ownership, and get a code for linking your form directly, or within another website. You can also download consolidated data from the web forms. And you’ll find bulk sends, where you can track the progress of bulk send operations, like viewing a summary of agreement statuses, and downloading consolidated data from completed bulk send agreements.
As you can see, the Manage page packs a lot of functionality, so if you wanna act on an agreement, then the Manage page allows you to do it. Make sure to use the filter and search options to find your target agreements. Select an agreement to show the details pane where all the available actions are listed, and then quickly perform your desired actions, all from one convenient location.
