Create a link to selected assets to share them with others easily. As an authorized Content Hub user, select one or more assets available in your Content Hub environment, generate a link, and send it to other private or public users.

In this video, we’ll show you how you can easily share assets and collections with your team members in Adobe Experience Manager Assets Content Hub.

In Content Hub, you can share assets available on the portal with your team using a link. This gives the recipients of the link direct access to view and download the assets without any interruptions or extra steps. You can share a single asset, multiple assets, or entire collections. Let’s say you want to share this rock climbing image with your designer to promote a new weekend adventure. Simply click the share icon here on the asset card or select the asset and choose share from the action bar at the top. You can also open the asset and click share from the asset details view.

On the left side of the dialog, you’ll see a preview of the asset you’re about to share. On the right, you’ll need to enter the details for your link. Start by giving it a meaningful title. This will help recipients quickly understand what the link is for. You can also add a description to provide more context.

Before setting up an expiration period, let’s choose who should have access to the shared assets. If your administrator has enabled public link creation in the Content Hub configurations interface, you’ll be able to choose between authenticated users and anyone with a link.

Ex participated users will need to sign in to their Content Hub environment to access the assets. Public users will be able to view and download the assets as guests, no sign in required. Each link type comes with its own expiration option. For public links, you can set the link to expire in 24 hours or up to one week. For private links, choose from one of the handy presets or set a custom expiration date. Once the link expires, it can no longer be used to access and download the asset, helping you keep your content secure. After setting the expiration period, click Get Link and the URL is copied to your clipboard. You’re ready to share it with your teammates and stakeholders. In our case, you’ll send it to the designer working on the Weekend Adventure campaign. Now let’s say you need to share several assets at once. Simply select all the assets you want to share, then click Share in the action bar at the top. In the preview panel on the left, you’ll see a list of the assets you’re about to share. You can easily remove any asset from the list by clicking the X icon next to it. Just like with a single asset, add a title and description to your link. This is especially helpful when sharing multiple assets. Next, choose whether to create a private or public link and set the expiration period. Once everything is set, click Get Link.

Once your designer receives the shared link, they can open it in their browser and preview all the assets you’ve shared. From here, they can select the assets and download them to their device. If your administrator has enabled asset renditions in ContentHub, recipients will be able to choose which renditions of the shared assets they’d like to download. ContentHub will download assets and renditions in a zip file. The link will remain active until the expiration date you set when sharing.

Sharing an asset collection in ContentHub is even easier. To begin, go to the Collections tab where you can view and manage all collections in your organization. Check out our video on how to create and manage collections in ContentHub for more details. To share a collection, click the Share icon on the collection card, which will instantly copy the link to your clipboard. Alternatively, you can click the collection card to go inside it, and click the Share button from here. The receiver of the link will be able to open it in their browser and view and manage the collection you’ve shared. You should now know how to share assets with your team in ContentHub. To share one or more assets with private or public users, execute the following steps:

  1. Navigate to your Content Hub homepage, select one or more assets and click share Share to display a single selected asset or a list of multiple selected assets in the Share assets dialog box.

    You can also select and share assets available in collections Collections.

  2. View an asset or review the list of assets available in Share assets dialog box. Click unselect next to an asset to remove it from the list.

  3. Specify a title and an optional description that defines the set of selected assets.

  4. Select Period of expiration.

  5. Under Who can access drop down, select the access options and click Get Link to generate a link to share with the selected users. Private users need to sign in to their Content Hub environment to access the shared assets page. Whereas, public users, as guests, can access the shared assets page without signing in to Content Hub.

Execute the following steps to share an asset while previewing it:

  1. Navigate to the Content Hub homepage and click the asset thumbnail to preview the asset and display the menu options on the right pane of the dialog box.
  2. Select share to display the Share panel.

  3. Follow Steps 3 to 5 in Share assets section to generate and share the asset link (Private or public) from this Share panel.

Access the shared assets access-shared-assets

Access the shared assets page through the link and do the following:

  • Select one or more assets and click download Download to select the Original, Static or both renditions from the available download options.
  • Click the asset thumbnail to see the asset’s metadata.
  • On the shared assets page (accessed through a private link), click an asset thumbnail and select download to select and view the available dynamic renditions of the asset on the Download panel before selecting and downloading them.
