Adobe Workfront Planning access overview

IMPORTANT
The information in this article refers to Adobe Workfront Planning. Workfront Planning is either a standalone product, or an additionally purchased capability of Adobe Workfront.
This article contains general information about Workfront Planning when customers also purchase a Workfront or Workflow package.

This article describes the access and settings that you need to use the capabilities of Workfront Planning.

Access requirements

You must have the following access to use Workfront Planning:

Adobe Workfront package

Any Workfront or Workflow package with any Workfront Planning package

NOTE

For access to connectable record types:

  • Any Workfront package and a Planning package

  • Any Workflow and a Planning Prime and Ultimate package

For access to global record types:

  • Any Workfront package and a Planning Plus package

  • Any Workflow package and a Planning Prime and Ultimate package

Adobe Workfront license
  • Any Workflow and any Planning license, to view Workfront Planning information

  • A Workflow Standard and a Planning Standard, to create workspaces and views

Access level configurations
Any Workflow and any Planning License Type in the access level
Object permissions
  • View or higher permissions to workspaces, record types and views that you did not create to access them and their objects.

  • Contribute or higher permissions to workspaces and record types that you did not create to edit them and create, edit, or delete record types.

  • Manage permissions to records to edit, share, or delete them.

  • Contribute or higher permissions to views that you did not create, to edit, delete, and share them

  • Planning Administrators can manage workspaces they did not create.

  • Planning Administrators cannot access views they did not create.

Layout template

Planning Standard users and Administrators have the Planning areas enabled by default.

Users with a Workflow Light or Planning Contributor license must be assigned a layout template that includes the Planning option in the following areas:

  • Main Menu
  • Left panel of projects, portfolios, and programs

Workfront Planning access levels and licenses

You can assign a user a Planning Administrator license when you add them to the Adobe Admin Console as an Administrator.

For information, see Manage users in the Adobe Admin Console.

You cannot modify the Planning Administrator access level in Workfront Planning.

You can assign the following license types when you configure access levels in Workfront:

  • Workflow license types
  • Planning license types

Users must have both license types assigned to their access level to access Workfront Planning.

You can assign the following Planning licenses to an Access Level:

  • Planning Standard: Give users this access if they need to create and manage all Planning objects, without being an administrator.

  • Planning Contributor: Give users this access if they need to contribute to records but don’t need to create Planning objects.

    note tip
    TIP
    The Planning Contributor license type is not available if your organization purchased unequal numbers of Workflow and Planning licenses.
  • None: When you assign this Planning license type, you are specifically removing all Planning access to the users assigned to this access level.

    note important
    IMPORTANT
    Planning licenses and Workflow licenses work together to give users access to Workfront.
    You can give a user different levels of access between Workflow and Planning but the Workflow license cannot be lower than the Planning license.
    For example, you can give a user a Workflow Standard license and a Planning Contributor license, but you cannot give them a Workflow Contributor license and a Planning Standard license.
    The Workflow license type cannot be blank if the user must access Workflow or Planning.

Configure access level

For information about configuring access in Workfront, see Create and modify custom access levels.

Assign licenses to users

You can assign licenses to users when you assign them an Access level while editing or creating them.

Grant permissions

You can grant permissions to the following entities in Workfront Planning:

  • Workspaces
  • Record types
  • Views
  • Records

Your Adobe Workfront license type works with your Workfront Planning license type and Planning permissions to give you access to view, contribute, or manage Workfront Planning objects.

Share the Planning area using a layout template

Standard users and System Administrators have the Planning areas enabled by default in the following areas:

  • Main Menu
  • Left panel of projects, portfolios, or programs

Your system administrator must add the Planning areas to you, if you have any other Workfront license and you need to contribute to Workfront Planning work.

The administrator can add the Planning option to the following areas by modifying and assigning you to a layout template:

  • Main menu
  • Landing page
  • Left panel for projects, portfolios, and programs
  • Pins

To add or remove Workfront Planning areas from users of your Workfront instance:

  1. Log in to Workfront as a Workfront administrator.

  2. Go to Main menu > Setup > Interface > Layout Templates and open or create a layout template.

  3. Assign the layout template to the users that you want to have access to Workfront Planning.

    All users assigned to the template can now access Workfront Planning in their Main Menu.

    Users can start creating workspaces, records types, records, and fields.
