Create a KPI report on a Canvas Dashboard
The first things you need to do before you can create a Canvas Dashboard report are:
- Enroll in the Canvas Dashboard beta, and
- Create a Canvas Dashboard

The first thing you need to do before you can create a Canvas Dashboard report is to create a Canvas Dashboard. If you need help doing that, click the link below to view the Introduction to Canvas Dashboard tutorial.
Now open your Canvas Dashboard and click on Add Report. Select Create Report under Create New Report.
Then select KPI Report and click on Create Report. We’ll name this report Late Creative Tasks by Project.
And in the description we’ll give a little more detail.
Show late incomplete tasks assigned to the creative team on current projects grouped by project name.
Starting with the name and the description will help us remember the important details when creating our report.
The description will show in the info area and in the Canvas Dashboard under the KPI number as well.
Next we’ll build the KPI section. Click on the 1-2-3 icon to start.
Then click on Select Field.
Since we want to see tasks, we’ll type the word TASK in our search field. We see a TASK folder appear. Click on this and select a field.
This list includes all native task fields and also all custom task fields. We’ll use a type ahead search to quickly find the field we want, which is the task name field.
Click on it to select it. See how the selected field shows as Name Field in the task object. For aggregation type we’ll choose COUNT. KPI stands for Key Performance Indicator. In a KPI report we want to see the number of items that meet the filter conditions. This can help us get a quick idea of how we’re doing in a particular area.
As you can see to start with, there are 874 tasks that can appear in our report. You’ll see that number decrease as we add filters.
We’ll click on the filter icon to add our filter conditions.
To add a filter, first click on Edit Filter.
Then click Add Condition. Click on the word empty.
Then click on Pick Field. Now we’ll select a field to filter on. The report description appears over here under our KPI number. This can help us remember what we want to see. We see we want to see late tasks, so I’ll type in progress in the search area. Then we’ll select progress status and it becomes part of our condition statement. It already knows we’re looking for fields in the task object and that shows up here. We want to see tasks where the progress status is equal to late. Notice the number change.
Next we want to only see incomplete tasks. So I’ll click on Add Condition. Click empty.
Pick Field.
And type percent complete in the search.
Or at least enough of it so that I can see it below. And we’ll select percent complete. We only want to see tasks where the percent complete is less than 100. Next we want to add a condition that only sees tasks assigned to the creative team. Click Add Condition again. Empty. Pick Field. This time we’ll type team in the search field.
And click on the team folder. And we want to see the team name. Or we want to filter on the team name. So we’ll type in name. And select name from our list.
We want to only see tasks where the team name equals creative. I can type ahead a little bit.
And choose creative. Notice the number keeps decreasing.
We want to see these tasks only on current projects. So we’ll add another condition for project status. Click Add Condition.
Empty. Pick Field. But we don’t want a task field. In this case we want to add a project field. So we’ll search for project. Select the project folder.
And then we want status from within the project folder. We want the progress status to be equal to current. The next thing we want to do is add columns.
Click on the build table icon. Here we have the name column that we set up in an earlier step.
Now we can add any additional columns we want to see. We’ll add a column showing who is assigned to a task by searching for assign.
We’ll click on add column. And search for assign. We get the assign to folder. Then we’ll select name from the folder.
Easy as just to search for it. If there are multiple users assigned to a task, this field will show the primary assignee. We’ll add another column for the planned completion date. And select it. If we want to change the column label, we can do it down here.
We’ll rename this column to due date.
Next we’ll add the percent complete. You can click on the down arrow icon next to each column name to sort it. As you can see our filter hasn’t been applied yet. We can click on the information icon to check the report description.
The next thing our description says is we want to group the task by project name. To do that we’ll click on the group settings icon over here.
We’ll add a grouping.
We’ll search for project. Click on the project folder.
Search for name. Now our groupings are in.
We’ll save our new report. It’s showing up down here. We can click on it to see the full report.
