1.2.1 Workfront + AEM Assets CS Metadata Integration

IMPORTANT
In order to complete this exercise, you need to have access to a working AEM Assets CS Author environment.
There are 2 options to consider:
  • If you’re attending the GenStudio for CSC Technical Enablement workshop, your instructors have created an AEM Assets CS Author environment for you. Please check with them what the name is and how to proceed.

  • If you’re following the full One Adobe tutorial path, go to exercise Adobe Experience Manager Cloud Service & Edge Delivery Services. Follow the instructions there, and you’ll have access to such an environment.

IMPORTANT
If you have previously configured an AEM CS Program with an AEM Assets CS environment, it may be that your AEM CS sandbox was hibernated. Given that dehibernating such a sandbox takes 10-15 minutes, it would be a good idea to start the dehibernation process now so that you don’t have to wait for it at a later time.

1.2.1.1 Workfront Workflow Terminology

The following are the main Workfront objects and concepts:

Name
Last Update
Portfolio
A collection of projects that have unifying characteristics. Those projects usually compete for the same resources, budget, or time slot.
Program
A subset within a portfolio, where similar projects can be grouped together in order to achieve a well-defined benefit.
Project
A large amount of work that must be completed within a specific timeframe and must use a specific budget and number of resources. To make it manageable, you divide the project into a series of tasks. Completing all the tasks results in the completion of the project.
Project Template
You can use project templates to capture most of the repeatable processes, information, and settings associated with the projects in your organization. After creating templates, you can attach them to existing projects, or you can use them to build new projects.
Task
An activity that must be performed as a step toward achieving a final goal (completing the Project). Tasks can never exist independently. They are always part of a project.
Assignment
A user, job role, or team assigned to an issue or a task. Projects, portfolios, or programs cannot have assignments.
Document/Version
Any file that is attached to an object within Workfront. Each time the same document is uploaded to the same object, it is assigned a version number. Users can view and change several options for a previous version of a document.
Approval
A given work item, such as a task, document, or timesheet, may require that a supervisor or other user sign off on the work item. This process of signing off is called approval.

1.2.1.1 Configure your AEM Assets Integration

Click the menu icon and then select Setup.

In the left menu, scroll down to Documents and then click Experience Manager Assets. Click + Add Experience Manager integration.

For the name of your integration, use --aepUserLdap-- - CitiSignal AEM.

Open the Experience Manager repository dropdown and select your AEM CS instance, which should be named --aepUserLdap-- - CitiSignal.

Under Metadata, configure the following mapping:

Project > Description

Enable the switch for Sync object metadata.

Click Save.

Your integration from Workfront to AEM Assets CS is now configured.

1.2.1.2 Configure Metadata integration with AEM Assets

Next, you need to configure AEM Assets CS so that the metadata fields from the asset in Workfront will be shared with AEM Assets CS.

To do that, go to https://experience.adobe.com/. Click Experience Manager Assets.

Click to select your AEM Assets environment, which should be named --aepUserLdap-- - CitiSignal dev.

You should then see this. In the left menu, go to Assets.

Next, click Create Folder.

Name your folder --aepUserLdap-- - CitiSignal Fiber Launch Assets and click Create.

Next, go to Metadata Forms in the left menu and then click Create.

Use the name --aepUserLdap-- - Metadata Form and click Create.

Add 7 new Single Line Text fields to the form and select the first field. Then, click the Schema icon next to the Metadata property field for the first field.

You’ll then see this popup. In the search field, enter wm:project and then select the field Project Name. Click Select.

Change the label of the field to Project Name. Click Save.

Go to the second field and click the Schema icon next to the Metadata property field.

In the search field, enter wm:project and then select the field Project Description. Click Select.

Change the label of the field to Project Description.

Next, select the third field and click the Schema icon next to the Metadata property field again.

You’ll then see this popup again. In the search field, enter wm:project and then select the field Project ID. Click Select.

Change the label of the field to Project ID.

Next, select the fourth field and click the Schema icon next to the Metadata property field again.

You’ll then see this popup again. In the search field, enter wm:document and then select the field Project ID. Click Select.

Change the label of the field to Document Status.

Next, select the fifth field and click the Schema icon next to the Metadata property field again.

You’ll then see this popup again. In the search field, enter wm:document and then select the field Project ID. Click Select.

Change the label of the field to Document Name.

Next, select the sixth field and click the Schema icon next to the Metadata property field again.

You’ll then see this popup again. In the search field, enter wm:task and then select the field Task Name. Click Select.

Change the label of the field to Task Name.

Next, select the seventh field and click the Schema icon next to the Metadata property field again.

You’ll then see this popup again. In the search field, enter wm:task and then select the field Task Description. Click Select.

Change the label of the field to Task Description.

Change the Tab name on the form to --aepUserLdap-- - Workfront Metadata.

Click Save and Close.

WF

Your Metadata Form is now configured.

Next, you need to assign the Metadata Form to the folder you created before. Check the checkbox for your Metadata Form and click Assign to Folder(s).

Select your folder, which should be named --aepUserLdap-- - CitiSignal Fiber Launch Assets. Click Assign.

The Metadata Form is now assigned to your folder successfully.
