Issue/Symptoms

Historical workflow execution records cannot be retrieved after the configured retention period has elapsed.
The Content Release Log contains limited information for the required historical review.
Workflow execution history is required for audit or compliance purposes.
Purged workflow execution records are unavailable unless they were archived externally before the purge.

Cause

Workflow execution records in the connected AEM Assets environment are retained for a configured period and are purged after that period. Purged records cannot be recovered unless they were archived externally before the purge.

Resolution resolution

Follow the steps below to resolve the issue:

Review the workflow execution retention configuration in the AEM Assets environment connected to Brand Portal. An authorized AEM administrator must use the supported OSGi configuration method for the applicable deployment model.
If a longer retention period is required, update the relevant OSGi configuration for workflow retention. For example, change the retention period from 30 days to 90 days. Note: The new setting applies only to records that have not been purged. Records purged before the retention change cannot be restored unless they were archived externally before the purge.
Apply and test the new retention configuration in a test environment to verify that workflow processing and system performance remain stable.
After successful validation, apply the approved configuration change in the live environment.
If long-term retention or auditability is required beyond the configured retention period, export the workflow execution records and store them in an external system or storage solution before they are purged from AEM.
Verify that the new retention period is effective by confirming that workflow execution records remain available for the expected duration.
