Bulk metadata edit approves assets without required metadata

In AEM as a Cloud Service – Assets, bulk metadata editing in the Assets view allows users to approve assets even when required metadata fields aren’t completed. This results in incomplete or noncompliant assets being marked as approved, which conflicts with organizational governance policies. The behavior occurs because the set of fields exposed in the bulk metadata edit interface is limited and can’t be customized.

Issue/Symptoms

  • Bulk metadata editing allows assets to be approved even when required metadata fields aren’t completed.
  • The editable field set in the Assets view is limited and can’t be configured.
  • Mandatory metadata enforcement is bypassed when using the bulk approval workflow.

Resolution resolution

Follow these steps to resolve the issue:

  1. Restrict use of bulk approval in the Assets view to non-critical scenarios where missing metadata doesn’t affect compliance or asset quality.
  2. Ensure final asset approval or quality assurance happens in an interface or process that enforces all mandatory metadata fields.
  3. Implement a custom validation step that triggers when an asset is set to Approved. The validation must check whether all required metadata fields are present, and reset the approval status automatically if any required field is missing.
  4. Deliver assets through Content Hub with ABAC rules if anonymous public links aren’t needed, ensuring only assets with complete metadata are accessible.
  5. Review asset approval statuses regularly to confirm that assets with incomplete metadata aren’t marked as approved after implementing these controls.

Notes:

  • The set of fields available for editing in bulk in the Assets view can’t be customized.
  • Attribute-based access control (ABAC) applies only to Content Hub access and doesn’t restrict public Dynamic Media URLs.
  • Custom validation steps don’t provide immediate user feedback in the UI and can result in a brief period where unapproved assets are accessible if Dynamic Media public links are used.
