Adobe Workfront 24.1 release webinar
The webinar was held January 11 with 931 live attendees. The Workfront Product team explained the new functionality and improvements going to Production in Workfront for the 24.1 release.
Hello, and thank you for joining us for the 24.1 release webinar. My name is Chris O’Neill from the Adobe Product Marketing team, and I’m glad to be joined today by two excellent members of our product management organization, Jason Baron and Jeremy Flores. This session is being recorded and will be emailed to you along with a PDF copy of the presentation slides within the next 24 hours. We encourage you to ask questions throughout the webinar. We have our team of product managers standing by to make sure that you get the information that you need. To submit a question, type it in the chat box on the left-hand side of the presentation. We will answer questions via the chat box throughout the session. Adobe Workfront is the system of record that empowers you to organize and orchestrate work for individuals, teams, and entire organizations. In this release, we are enhancing critical user experiences and productivity management to help you create your single source of truth about the who, what, and how of delivery. Today we’ll show you how Workfront continues to create your home for work and collaboration by unlocking content velocity and personalization at scale, simplifying work processes and onboarding, and enabling enterprise governance and scalability. For example, for New Home, new admin controls are being added that will allow you to configure and then assign the design and layout of widgets, filters, columns, and groupings for your users and teams. Jeremy will be telling us more about that today. He will also tell us about some new commenting enhancements that allow you to search for comments by keyword, search for tagged users, and add images to comments by copying and pasting or dragging and dropping them. For unified review and approval, Jason will tell us about several enhancements going to a select group of customers for a limited release. These include a way to remind reviewers to make a decision, the ability to show the approval status of a document version, a new way for reviewers to indicate that they’re finished, and the ability in New Home to view all pending approvals for your projects and see who the outstanding approvers are. For a moment, though, let’s talk about Summit. Adobe Summit is our digital experience conference and it is coming up on March 25th through the 28th in Las Vegas and online for virtual attendees. This is one of Adobe’s largest events each year and the biggest digital experience conference anywhere. So come mingle with 10,000 of your peers in attendance or virtually with the tens of thousands more who will be learning online at Summit. Attending this event are the biggest brands in the entire world. Come and learn together as customers share their experiences and best practices with their peers, product experts provide hands-on instruction, and get a sneak peek at what is coming in the future. Registration for Adobe Summit is now open. The scheduler for Adobe Summit will go live where you will be able to sign up for the specific sessions you want to attend and that will be happening later this month. But first let me give you a preview of the 18 sessions that my team is helping coordinate for Summit specifically for the Workfront track that is titled Planning and Workflow. And these include nine in-person breakout sessions. These are hour-long sessions where you will be able to learn either from a peer, another customer or from one of our product experts in helping you navigate the product, understand new use cases and to deepen your knowledge of Workfront. And we have sessions here, everything from how Workfront is using Workfront. We will have a roadmap session that shows you the future of Workfront, you get that sneak peek, how we’re applying AI to help simplify the Workfront experience, as well as what we’re doing to unify work into a marketing system of record and more. We have two virtual-only sessions that will be premiered during Adobe Summit and that includes some wonderful customers such as Cognizant who will show you how they manage multiple Adobe Workflight groups within Workfront, as well as Manual Clinic who will be showing you how they are using Workfront for managing their resources. We also have five hands-on labs and these are 90-minute sessions where you will come in, sit at a computer and learn new skills in using Workfront, maybe in conjunction with other tools and how to really learn how to automate processes in your workflow. And these are everything from campaign management, how to link Workfront with Marketo, as well as using Workfront to transform site data into success and action by linking Workfront with Adobe Analytics. But let’s not forget things such as automating with Workfront boards or configuring Workfront for execution and optimizing Workfront by harnessing advanced resourcing. And then we have two skill exchange sessions and this is where customers come to teach customers. We have Mattel who will be showing how they are leveraging Workfront boards and then also a couple of customers who will be giving spotlights on what they shared during the Experience Makers conference and award ceremony. Well thank you very much for your time and now let me hand this over to Jason who will dive into this quarter’s product release. Thank you Chris. Adobe GenStudio is the end-to-end content supply chain solution that allows enterprises to seamlessly execute strategic marketing campaigns through all stages of the marketing lifecycle. Workfront is the backbone of GenStudio. Our product team continues to innovate and deliver value to connect workflows and technologies within enterprises and agencies. The Workfront reporting strategy is developed around the idea that different types of data products are needed for different purposes and different tools will provide the best output for distinct audiences, output and questions to be answered. For real-time updates on the current state of work, assignments and content, Workfront’s native reporting will continue to be how individual contributors, work managers and leadership can obtain insights into what needs to be done, where the bottlenecks are and the general health of work in progress. Additionally, for deeper analytics of the data and to perform trend analysis to identify patterns of behavior, a richer set of data is needed and more powerful reporting tools are required to answer the question to inform strategic decision making. This is where our investment in making data available to business intelligence tools comes in to allow both marketing and non-marketing teams alike with data necessary to identify trends, integrate Workfront data with other systems of record, and seamlessly present operational insights alongside visualizations from other systems. Finally, there will always be a use case for pulling data out of the API to integrate Workfront data with other systems of record and to create alerting and automation when data falls outside the normal operating bounds. Let’s have a deeper look at what we have planned for data availability to your BI tools first. As we previously stated, the purpose of our BI availability investment is centered around answering different types of questions that the real-time, current state native reporting capability will not address. This includes joining data with other systems of record, trend analysis based on historical data to predict future outcomes, and to place visualizations of Workfront data where leaders and stakeholders will consume them. This new option will reduce the dependency on suboptimal approaches some customers have employed for getting data out of Workfront into their own data lakes and available for BI visualization. We are actively in alpha recruitment and we are looking forward to including as many of you as we can either in the alpha or the beta to follow. Please use the QR code on the screen to register your interest in participating in either of these programs. We are expanding the objects that can be included in native Workfront reports. Historically, this has been limited to objects that we might call core Workfront objects. Reporting on newer features or those added to Workfront through acquisition was not possible. The first objects we are focused on will connect to project, task, and issue reporting and includes boards, document review and approval, and other marketing operational data. An important part of making these objects reportable is our reimagined report creation and display options presented through Canvas dashboards. The first of the visualizations we will be releasing are basic column, bar, and line charts, as well as the KPI reporting block that is currently in alpha evaluation. We plan to continue this investment in the visualization layer as we explore new report types previously unavailable through the current reporting capabilities. We are targeting January 2024 to release the new chart capabilities to the first set of alpha customers. Following that, we are aiming to have this extended data set available to the Canvas dashboard charts and KPI reporting blocks closer to Q2 2024, when we will move this initiative into a beta phase. Since the launch of our new document approvals alpha and the subsequent limited production release, we’ve had the opportunity to talk to many customers and receive some really valuable feedback. Based on this feedback, we’re continuing to improve the new content review and approval experience. With this quarter, releasing the capability to see the approval status of each participant with the capability to remind participants who haven’t made a decision, ensuring that the approval process moves forward as quickly as possible. We are also introducing the ability to show the overall approval status of the document version in both the document summary and document details areas of Workfront. This functionality aims to give you greater visibility to streamline your work in managing content approvals and expedite the transition from a request to a successful approval. In addition to those features, we are also releasing the Complete My Review action for participants who have been added as reviewers to a document. Now they can indicate when their part of the review process is completed, helping coordinators keep even better track of their content in the process. We are also adding a new widget to the homepage that will allow users to view all pending approvals for the projects they own, along with an easy way to see who the outstanding approvers are. We are releasing all of these content approval features to several hundred customers as part of our limited release. If you would like this new content approval functionality turned on for you in production, replacing the existing document approvals experience, please let your customer success or account manager know and we’ll enable it for you. With that, I’m going to turn it over to Jeremy now to talk about how we’re unlocking critical capabilities for digital agencies. Thanks Jason. In this strategic area of innovation, Workfront provides modern capabilities that are essential for work management, ensuring the delivery of differentiated client services. The ability to collaborate in Workfront has greatly improved with the new commenting stream. This released to all objects with the 23.10 release in October. So in addition to newly introduced features such as editing comments, real-time updates, and the ability to remove people from threads, the commenting experience gets enriched with long-awaited enhancements. Some of these include searching comments with keywords, searching for tagged users, copy, paste, or drag and dropping images into comments, all geared toward helping you be more speedy and efficient when it comes to absorbing information. We also built these features in a cleaner UI that better represent how people think, which will minimize the time it takes to complete tasks and increase user productivity. We’re super excited about this feature, as well as new enhancements we’ve made to the new homepage. Now the new homepage was built with three purposes in mind. Number one, how do we add greater organization and clarity to your workday? How can we give you an at-a-glance view of what needs to get done and when it needs to be done by? How can you have all of the key information in one central location so that you can do less digging for information, less context switching, and again, increasing your productivity? So with that being said, we’re happy to introduce two new key enhancements to the new homepage. The first being the ability to configure layouts, and the second being the ability to delegate work. These are geared toward giving you greater business continuity and productivity. Let’s start with the ability to delegate tasks and issues. Many of you are familiar with these features. In the legacy homepage, you have the ability to delegate tasks, issues, and approvals. With this new enhancement, this will complete those parity requirements. In the approvals widget, you can delegate approvals. With this enhancement, you’ll be able to go to the my work widget, the my tasks widget, or the my issues widget, and you’ll be able to delegate those items to a delegate as well. This has been available since the 23.4 release, and we have additional improvements set to release for this as well in the new year. That will be the ability to view these delegations. In order to view the delegations after you’ve made the delegations in home, you will have to go to the legacy homepage, but again, we’ll be bringing the view into the new homepage. Now the ability to configure the design and layout of new homepage for your users. This has been an ask for a while. We thank you for your feedback. We’ve been listening. With these controls, you’ll be able to assign your layouts to users and teams who need them. You’ll now be able to go into the layout template area that you’re already familiar with, and to be able to scale these homepages for whether that’s multiple users, teams, groups, or companies. I’m going to give you a demo here in a moment, but as you can see on this screen, this area will be bringing iterative releases as we identify key needs. Again, starting with the ability to design and layout, which will bring us into widget settings and additional settings in the future. Let’s do a demo. What I’m going to do is I’m going to remind you this is the legacy homepage that I’ve been referring to. So in this homepage, you have the ability to delegate those items and view those items here in a filter. Viewing will not be part of this release, but it will be soon, but delegation certainly will be part of this release. So let’s go to the new homepage and demonstrate the delegation. So here I am in the new homepage area, and you’ll see I have three tasks that are assigned to me. What I’m going to do is I’m going to go here and select the delegate button. Before I make the delegation, I also just want to highlight that again, this is available with the my work widget and my tasks and issues. So I’m just going to demonstrate as I add this widget here in the my tasks that you’ll see of the same delegate button as I scroll to the bottom. So you’ll see the ability to delegate here. Had I added the issues widget, you would have also seen the ability to delegate through that widget as well. So in this example, I’m going to come here and I’m going to delegate my tasks to a co-worker because I know that I’m going to be out of town. So I’m going to delegate all my tasks starting tomorrow. And I don’t know when I’m coming back yet, and it looks like I didn’t put the name in right so there we go. I’m going to go ahead and hit save. So as you can see here, I got this little toast message or confirmation saying that you delegated your tasks and issues to Cassian Andor. Now as an administrator, I can come in and I can log in as Cassian. And what I would expect to see is here in the legacy homepage, those same tasks that have been delegated to me, as you can see here. One, two, and three. Delegated starting tomorrow by Jeremy Flores. So again, we’re excited to be able to introduce these capabilities and we will be carrying the same view into the new hall in the new year. Let’s go ahead now and demonstrate the ability to configure a layout and distribute that. So as you can see here, I have a homepage and I’m going to pretend that I’m an end user. So I’m customizing my homepage. I’m going to move this to the bottom. I like my board widget and my to-dos pad here. And then what our administrator decides is, well, you know, Jeremy keeps missing his approvals. So I am going to go and set up a layout template. Now as I go to set up and go into the interface options, I’ll be able to click layout templates. And I know ahead of time that I’m already assigned to template. So I’m going to come in here and what you’ll notice is in the layout template section here within the customize what users see, you have a pick list of objects. And one of the new objects you’ll see here is home workspace. So think of this as home in summary as legacy home, home workspace, new home. When I come to home workspace, you’ll see the home preview. Now if you remember from the end users example, I had boards, to-dos, my work. And just like you’re familiar with the layout templates area, when you set up a layout template and assign it to a user, your setup overrides that user’s setup. We have followed that same convention, those same patterns. So in this example what I’m going to do is I’m going to say, you know, my user keeps missing their approvals. So I’m going to add the widget. And as you can see here, you’re given the same screen where you can adjust it. You can resize it. Let’s add another widget here just as an example. I could move this above it, reorient it, remove it. And all I’m going to do in this example is say, you know, again, approvals keep getting missed. I’m going to save my changes. And now when I log in as the end user, I should expect to see the approvals widget on top and then the same configuration ordered below, as you can see here.
Now one thing I’m going to call out here is this widget was added by administrator. So the ability to remove it is no longer here, at least from the end user’s perspective. I can still remove these ones, but I can’t remove the one that the administrator added. Now let’s just say that I, you know, I want to remove the approvals widget because, you know, we decide we’re no longer going to use that. I can go back to the layout template area, back into the new home configuration, and remove this from that screen. Now before we go back, you obviously want to save your changes. Before we do that, I also just want to show you what I was mentioning earlier. You have the ability to configure filters and groupings for now, and to be able to set defaults for these three widgets to start off. This just gives you a great example of the configurability that we want to be able to provide our administrators so that they can better set up these home pages for their users. So I’m going to go ahead and save my changes knowing that the approvals widget should now be gone. And as you can see here, that layout template configuration has been honored. All right, that brings us to the end of our updates for 24.1. We’re excited to bring these new capabilities to you.
