Share and hide reports and dashboards (production instance)

This lesson covers the viewing and sharing of reports and dashboards.

Okay, so this lesson covers sharing reports and dashboards and hiding certain report types. So if you have a Salesforce org that was created on or before 2013, you’ll need to update your sharing settings for reports and dashboards. And that’s because for orgs created on or before this time, the dashboard folders are only visible to the install user. So you’ll need to share them so that others can see them. To do this, just follow the instructions on the right hand side in the Salesforce article linked there. Okay, so next, since you’ll probably not be using every single report that’s included in the visible package, it can be helpful to hide some of the unused report types in order to minimize confusion and create a cleaner appearance. So let’s go ahead and do that now. I’m just going to the Reports tab, clicking on New Reports, and typing in touchpoint. And I’m clicking on the box Select Reports to Hide. And I’m just going to click through and you can follow. This is our suggested list of reports that are shown. So you’ll see the ones that I’m clicking on here. And I’m also including a screenshot of this to the right so that you can follow along. So I’m just going to remove the last few reports here. And when you’re done with that, you can just deselect the checkbox next to Select Report Types to Hide. The last thing to mention for this lesson is that if you’re using a custom amount field to record revenue in Salesforce, you’ll need to set up a custom workflow to map this field to our visible opportunity amount field for the purposes of attribution reporting. So this isn’t necessary if you’re using the default Salesforce amount field to record revenue. But if you are using a custom amount field, check out the link to the right for instructions on creating this workflow. And be sure to let your success manager know if you’re using a custom amount field.
