Configure adaptive form to trigger the review workflow
Transcript
We will now configure our adaptive form to trigger the workflow that we created earlier. So I have this simple adaptive form which has a few fields to capture the request state requested by and the state of residence and allows the user to add some attachments here. Now to configure this adaptive form to trigger the workflow, open up the form containers configuration properties here.
And go to the submission tab and select the option here which is invoke AEM workflow. And in here select the appropriate workflow that we had created earlier. So that was called review workflow. And store the data file using a variable here. And this UI is smart enough to list the variables that we have defined in our workflow and it shows the appropriate variable type here. That’s the form data. And we’re going to store the attachments using the variable that was defined in our workflow. And that variable should be listed here. That was called form attachments. We’re not going to store the document of record option for this purpose. Save the settings here. And now if you preview this form and submit, it would trigger the workflow. And based on the value of the state of residence here, the appropriate route would be executed. So we’re going to add some attached supporting documents here. And I can add requested by Girish. And when I hit the submit button, the workflow would get executed. And the task would be assigned to the appropriate user based on the value of the state variable. On submission of the adaptive form, a workflow task will be created. And to interact with the workflow task, you can go to this inbox here by clicking on the bell icon and click on view all to list all the tasks that have been assigned to you. So the various tasks that have been assigned to that particular user are listed here. And the workflow associated with those tasks are also listed here. You can even filter the tasks based on the workflow by clicking on the filter icon here. And filtering on the tasks associated with the review workflow, you could do it from here. And then to interact with the task, you simply select the form and click on open to open up the form associated with that particular task. So this is the form. And as you can see, the data that was submitted to trigger the workflow has been pre-populated in the form. There’s also this attachment. Now, based on the business rules, you could delegate this task to another user within your organization. Or if you just want to complete the task, you can hit the submit button to complete the task that would remove this particular task from your inbox. And then this completes the task. So this is how you would interact with the tasks assigned to you in AEM through the inbox.
