Learn how to use assets reports in AEM Assets to gain insights into your DAM activity.

In this video, we’ll take a look at how you can create and manage user-defined reports in AEM assets to easily track how users are interacting with your organization’s content over time. AEM Assets reports enable administrators to review user activities within AEM Assets. This data provides further insights into how users are interacting with the content stored in AEM Assets and how the system is being used. All users have access to the Insights dashboard. To view the dashboard, select Insights in the navigation pane. From here, you can view automatically generated insights for activities like downloads and uploads, as well as for asset counts, storage usage, and top searches. You can filter results to view data for the last 30 days or the last 12 months. If you have administrator access, you can create custom reports to gain further insight into how AEM Assets is being used across your team. To access reports, select Reports under Settings. Here, you can see a list of all generated user reports, including the type of report, a description, status, author, and creation date. To view a report, select the report and click Download CSV. This will download the report to your system in a CSV file format. Now, let’s take a look at how to create a custom AEM Assets report. For our example, we’re going to build a report that contains comprehensive details on user activity for the months of June and July. From the Reports view, click Create Report. This opens a dialog where we will configure a report. First, in the Configurations tab, we’ll specify that we’d like the report type to be Download. You must provide a meaningful name for your report and can optionally provide a description. We’ll call this report June and July since we’re focused on pulling user activity data for that time period. Next, you have the option to specify the repository to focus the report on and select a folder to restrict the scope of your report to a specific group of assets. For our example, we’ll focus our report on asset activity in the Weekend Shared folder, and we’ll set the date interval from June to July as we want to see user activity for that time period. Then, we’ll go to the Columns tab to define what details we want to view in our report. For our example, we’ll create a report that contains all of the available data points to provide a comprehensive view of user interactions with assets for a defined date range. You can adjust your selection depending on your reporting needs. We’ll click Create and you can see our new report in the list of reports with a status of Processing. Once the report is ready to view, the status will update to Completed. Now, we can select and download our report. As you can see here, our report contains columns for all of the data points we selected, including the asset’s title, storage path, MIME type, file size, the email contact of the user who downloaded the file and when it was downloaded, the personal asset author and when the asset was created, when the asset was last modified, if the asset has expired, and the name of the user who has downloaded the file. So, as you can see, AEM Assets reports in the Insights dashboard provide a ton of great insights for you to track and review how your team is interacting with assets over time. You should now know how to navigate the AEM Assets Insights dashboard and how to create and view custom reports to gain better insights into your organization’s user activity within AEM Assets.
