Unable to view workflow registrations of other users in AEMaaCS
You’re unable to view workflow registrations—such as Instance, Archive, and Failures—created by other users in Adobe Experience Manager as Cloud Service (AEMaaCS). Folder-level permissions on /etc/workflowor/var/workflow don’t grant this access. To resolve the issue, add the account to the workflow-administrators group.
Description description
Environment
- Product: Adobe Experience Manager as Cloud Service (AEMaaCS)
- Scenario: Viewing workflow instances (Instance, Archive, Failures) created by other accounts
Issue/Symptoms
- Non-admin users are unable to view workflow registrations created by other users.
- Assigning permissions to folders such as
/etc/workflowor/var/workflowdoes not grant access to these workflows. - Only members of the workflow-administrators group can view all workflow instances.
- Attempts to configure folder-level permissions fail to provide cross-account visibility.
Resolution resolution
Follow these steps to address this issue:
- Open the Adobe Admin Console and navigate to Products
>AEM as a Cloud Service. Select the appropriate product profile and confirm that the user is listed under the workflow-administrators group. - If required, add the user to the workflow-administrators group using standard group‑management procedures.
- After adding the user, verify that they can view all workflow registrations, including those initiated by other users.
- If only viewing rights (without full administrative privileges) are required, note that no standard permission setting exists for this scenario.
- Verify access by logging in with an account assigned to the workflow-administrators group and checking visibility of all relevant workflows.
