Workflow bell icon doesn’t show local tasks for Admin Console users in AEM

The bell icon in Adobe Experience Manager as a Cloud Service (AEMaaCS) shows notifications for Experience Cloud events when Unified Shell is enabled. Local workflow tasks, such as participant step approvals, don’t appear in the bell icon for Admin Console–synced users, even though the tasks are visible in their Inbox.   • Scenario: Unified Shell enabled

Issue/Symptoms

  • A locally created AEM user receives workflow notifications through the bell icon for custom workflows.
  • An Admin Console–synced user doesn’t receive these notifications via the bell icon, even though assigned tasks appear in the Inbox.
  • The issue persists after the Admin Console–synced user logs into AEM and actively uses the system.

Resolution resolution

When Unified Shell is enabled, the bell icon only displays Experience Cloud–wide notifications, not local workflow tasks. Follow these steps to restore visibility of local workflow notifications:

  1. When Unified Shell is enabled, the bell icon displays only Experience Cloud–wide notifications, such as Cloud Manager pipeline events and product-wide announcements.
  2. Local AEM workflow tasks (for example, participant step approvals) do not appear in the Unified Shell bell icon. They remain visible in the legacy notification dropdown and the user’s Inbox.
  3. To view local workflow task notifications in the bell icon, disable Unified Shell. This reverts to AEM’s legacy top bar, where these notifications are shown.
  4. All assigned workflow tasks are accessible through your Inbox, regardless of user type or shell configuration.
  5. Verify that disabling Unified Shell restores the expected notification behavior for local workflows.

Note:There is no configuration to make local workflow task notifications appear in the Unified Shell bell icon for Admin Console–synced users. This behavior is by design. Workflow task alerts remain accessible through the Inbox and the legacy notification dropdown when Unified Shell is disabled.
