Users still receive workflow supervisor emails after getting removed from security zone or deleted from admin console
To ensure that unwanted recipients don’t receive further communications, you can resolve it using user login requirements, quarantine lists, workflow changes, and testing changes.
Description
Environment
Adobe Campaign Standard (ACS)
Issue
Users may not be successfully removed from a security group within the Adobe Campaign Standard platform.
This can result in these users continuing to receive emails that they should no longer be receiving.
The issue arises when:
- Users are deleted from the Admin Console, but still appear active within the production instance of Adobe Campaign.
- Emails intended for removal continue to be sent to these users. This may occur when a user was previously assigned the workflow supervisor product profile, and then that profile was later removed.
Resolution
To resolve this issue, and ensure that unwanted recipients don’t receive further communications, use these methods:
-
Ensure that any changes made in the Admin Console are reflected by having affected users log into the Adobe Campaign instance at least once.
If a user has left the organization and can’t log in, proceed with alternative methods as described below.
-
Add email addresses of such users to the quarantine list within Adobe Campaign.
When adding them to quarantine, select the On Denylist option, which will prevent any future emails being sent through Adobe Campaign.
-
In cases where manual updates fail due to large recipient counts or other errors, try using a workflow approach:
- Run a query targeting the recipient schema to fetch specific email addresses needing removal.
- Use an Update activity within this workflow setting those recipients as No Longer Contact (by any channel).
-
After implementing changes via login or quarantine addition, test by attempting another delivery cycle ensuring no unintended recipients receive communication.
By following these steps diligently, you can effectively manage and update your security groups ensuring compliance with desired communication protocols on the Adobe Campaign Standard platform.
