Search assets and manage collections
Many assets are uploaded to various locations in AEM, and searching across those locations can be difficult. Experience Manager enables you to search assets based on tags and keywords, then create collections of assets. You can share the assets collection with your team members and clients easily.
After completing this module, you should be able to:
- Search for and promote assets.
- Apply advanced search filters.
- Create and manage collections.
- Share collections.
Learning scenario
The DAM administrator is working on an internal communications campaign to promote Adobe Experience Manager Assets across WKND. In the email for the campaign, the DAM administrator requires clickable links to show the assets that WKND employees now have access to.
As the digital librarian from the Ski team, you need to gather all assets that you have curated, as well as any assets related to skiing located in the DAM, and share them with the DAM administrator. The DAM administrator has also asked you to identify an asset that represents your department and ensure it is prominently available over all other assets. Part of the goal of having assets centrally located is the ability to make important assets easily findable in a sea of less relevant assets.

Now that you have learned how to search and promote assets, let's learn how to use advanced search formats and manage collections.
Learning scenario
Every month, the Colorado website development team at WKND submits marketing assets to the partner relations representative for the Rocky Mountains Ski website. The website is an aggregator of different ski activities and events, and it provides monthly deals during the ski season.
The Colorado website development team has requested you to provide three images related to ski activities, so they can share the images with the partner relations representative for the upcoming promotion of the new Colorado adventure pages.
Search assets using advanced search formats and manage collections
This hands-on activity shows you how to search assets using advanced search formats and add them to a Lightbox. If you need step-by-step instructions, please refer to Activity 3.2: Search Assets Using Advanced Search Formats and Manage Collections, Task 1: Search Assets Using Advanced Search Formats and Add Them to Lightbox in the activity guide.
Task 1: search assets using advanced search formats and add them to lightbox
In this activity, your instructor shows you how to search assets using advanced search formats and add them to a Lightbox.
Task 2: remove assets from the lightbox and download the lightbox collection
In this activity, your instructor shows you how to remove assets from the Lightbox and download the Lightbox collection.
Now that you've learned how to search assets, let's learn how to share a collection.
Learning scenario
The partner relations representative from the Rocky Mountains Ski website did not receive the assets from you. When you double-check your email outbox it shows that the mail containing the zipped file of assets was not sent. After attempting to send the mail several times, you reach out to the IT department of your company, and they inform you that zipped files are blocked by default for emails. You need to think of another way to send assets to the partner relations representative so that they can download and use the assets to promote the Colorado adventures page on the Rocky Mountains Ski app.
In this activity, you will copy the Lightbox collection to create a static collection and share the collection link with the partner relations representative. Static collections can be shared with external users.
