Prepare to publish assets

Publishing an asset or folder to Brand Connect gives a wider audience the ability to access approved assets. It’s possible that many people in your organization won’t have access to Workfront DAM but will have access to Brand Connect.

Assets shouldn’t be published until they are final. For example, you don’t want to publish a rough draft of a brochure to Brand Connect, otherwise it could get distributed before it’s finalized.

Before publishing an asset to the Brand Connect, you may want to do some of the following:

  • Place an asset in a specific folder.
  • Edit an asset’s metadata and keywords.
  • Upload a new version of an asset.
  • Make an asset’s or folder’s status Active.
  • Make sure the asset isn’t expired.
  • Watch the asset so you receive notifications when changes are made to it.

Well, one more thing here to show you today in our final minutes of class, and that is how to publish assets to the brand portal, okay? So we talked at the very beginning of the class how we have, there’s really kind of two parts to the Workfront DAM. There’s what I call the DAM itself or the DAM proper, which is what we’ve been doing today. But there’s also the brand connector, the brand portal, and this is where we can only see the things that have been shared with us, that have specifically been published there, okay? And we do that publishing from back here in the DAM. So for example, let’s go into our Photographs folder and let’s go into our Travel folder, okay? And we’ll do Orlando. Oops, let me back up here. I went too far too fast, okay? Now, if I wanted to publish this entire folder of assets to the Workfront DAM, I could do that, okay? Just select the folder. I can come here and hit Publish or Unpublish or I can come over here and hit my little Publish icon, okay? And it’s going to ask me where do I want it to publish, okay? Do I want to include the subfolders if there are any? And do I want it to publish now, which I’ll hit Publish, or I can come in here and I can set a specific date and time for it to publish. So maybe some things are embargoed until the end of the week or you’re doing a big product launch at nine o’clock tomorrow morning and you want everything to be available when the meeting’s over at 10, you can do that.
If you want to publish just individual assets, same thing, okay? Select your asset, come to the Edit option, Publish or Unpublish, or hit our little icon here, okay? And do that. It’ll tell you that it was successful. It’ll show you the status. And even right now, if I wanted to, I could unpublish.
Let’s take a quick look here. Let me just refresh that window since my computer’s being a little slow today of catching stuff up. Is that one that I published? Okay, there we go. So you can see, see how, I know it’s kind of hard to see on the screen, but that little Publish icon turned blue, okay? And that’s telling me that I’ve published that particular asset. And if I go over to the brand portal, if everything’s working correctly today, when I go into Photographs and Travel, okay, there’s my Orlando folder, and there’s that one image that I published, okay? So it’ll always bring the folder with it, 'cause the butterfly picture was in the Orlando folder, was in the Travel folder, was in the Photographs folder. We’re going to see that folder structure. But as you can see, we’ve only got the one asset that we’ve published.
If you’ve got people who are working in the brand portal, this is the only way they can get to stuff. You’ve got to make sure or somebody on your team has to get those published over or they’re not going to have access to 'em.
And a lot of times, I worked with one group recently that the majority of their people, all that they had access to was the brand connect, to the brand portal, and could only access the images that were in here, and it was their, like, some approved stock photos. It was their style guides. It was pictures from photo shoots that they had done as well as the consent forms for the people that they took the pictures of. So all of the information that was needed to create their advertising, their brochures, and that kind of stuff was already approved, ready to go, and they could just download it and manage it through the brand connect. And then they had very few people who had access to the Workfront DAM that could come in and actually upload and manage things this way.
Okay, well, we are down to the last couple minutes of class. So after today’s class, you should be able to get logged into your Workfront DAM, find, upload, download, and manage your assets, okay? I highly, again, I highly recommend you download the course manual because there’s a lot of things in the manual that we didn’t have time in today’s class to cover, and there’s also some appendices in the manual that have additional information. There’s advanced searching options. Right here above the light boxes, you can see there’s embeddables. So we can create embeddable assets. You can also create an address book. And then there’s a lot of information about metadata and keyword best practices, as well as a list of Workfront DAM system requirements and what type of assets are, can be loaded into the Workfront DAM.
